Delete your account

You can ask us to remove your Whole Team account, and a parent or guardian can ask us to remove their child's record. This page tells you how, what is deleted, and what we keep and for how long. It follows our retention and erasure policy exactly.

How to ask

  • In the app: open You, then Your data, and ask to remove your account or your child's record.
  • By email, if you cannot sign in: write to privacy@wholeteam.co.uk from any address you can use, and we will do it for you.
  • A parent or guardian requests it for a child; a child does not do this themselves.

What happens then

From our policy, word for word:

“A guardian requests erasure of a child in the app or by email. A 30-day grace period starts.”

“Every linked guardian is notified. If any objects, or the club's safeguarding officer objects, the request pauses and the club's decision on membership governs; the data then follows that decision.”

“If no objection, the record is anonymised on day 31.”

An adult removing their own account is anonymised within one month in the same way, except the payment records described below.

What is deleted, and what is kept

We do not delete the row and leave a gap in a club's history; we anonymise it. From our policy, word for word:

“Anonymised means the row stays and the person goes: name, date of birth, contacts, notes and consents are cleared, and the club's history (availability, selections, attendance, minutes, results) stays attached to an unnamed record.”

So the name, date of birth, contact details, notes and consents are removed, and the team's history is kept against “Former player” so the club's records still add up. Nobody can tell from the kept history who the person was.

Your sign-in

The sign-in is closed and cannot be used again. Your email address and phone number are removed from it, every device that was signed in is signed out, and the account is blocked from signing in. There is no password to change and no way back in; if you ever wanted to use Whole Team again you would start a new account.

The account itself is not deleted, and it is worth being plain about why: it is what the kept history hangs from. Deleting it would take a club's attendance records and the payment records tax law requires us to keep down with it. What is left holds no name, no email address and no phone number.

Payments

One thing we must keep. From our policy, word for word:

“Payments and receipts | 6 years from the end of the financial year (tax law) | Deleted; Stripe keeps its own records under its policy”

UK tax law requires us to keep payment records for six years from the end of the financial year. After that they are deleted. Stripe, who processes card payments, keeps its own records under its own policy.
