Downloading the club's data
Everything your club owns in Whole Team is yours, and you can take a copy whenever you like. There is no charge for it, it is not part of Club Plus, and it is complete enough to move your club somewhere else.
Getting it
- Open Settings at the foot of the rail.
- Under Download everything, choose Download the club's data.
You get one zip file, named for your club and the date.
What is in it
Two copies of the same thing:
- csv/ one file per kind of record, which opens in Excel, Numbers or Google Sheets.
- json/everything.json the same rows in one file, for anyone building something with it.
The records are: the club, teams, people and their roles, events, availability answers, selections, registers, minutes played, guardian links, payment plans, charges, payments, venues, drills, session plans, the coach register and the club's requirements list.
README.txt inside the zip lists how many rows each file holds.
Who can do it
A club admin. A coach, a treasurer or a parent asking for the same file is refused, because the file carries every child's name and date of birth.
Look after it
This is your club's register in a file anyone can open. Keep it where you keep your other records about children: not in a shared drive the whole committee can browse, and not on a laptop other people use.
What is not in it
- Card numbers. Whole Team never holds them; Stripe does.
- Photos. They stay on each team's board; ask us at privacy@wholeteam.co.uk if a club is closing and needs them.
- Other clubs' records, even for a family that is at two clubs.
