What we send you, and when
Whole Team sends four kinds of email and nothing else. There are no adverts, no newsletters and no tracking: an email from us carries one picture, our own icon, and no hidden image that reports back when you open it. Every one arrives with a plain-text version as well, so it reads properly on a watch, on an old phone, and in any app that refuses pictures.
Every email carries a link to Choose what we send you at the foot. Service messages about your own club have no unsubscribe link, because they are how your club reaches you; the settings screen is where you turn each kind on or off. The ones you get more than once — the digest, and a receipt — also carry the header your mail app reads to put an unsubscribe button of its own at the top.
The four
| Email | When it arrives | Who gets it | | --- | --- | --- | | Sign-in code | When you ask to sign in | You | | Club invite | When a club admin invites you, and once more as a reminder | The person invited | | Digest | On a day something needs you; otherwise on a Monday, with the week ahead | Everyone, unless the day is quiet | | Payment receipt | When a card payment goes through, and when your club's treasurer marks a bank transfer received | The payer |
On a quiet day the digest is not sent at all. An empty email is worse than no email.
A payment reminder is not an email. When a treasurer chases a family, it goes into the family's digest and as a notification on their phone, in the treasurer's name, at most once a week. There is no separate chasing email, and the message never guesses why somebody has not paid.
A fixture change is a notification, not an email. When a match or training moves, everyone on the team is told on their phone and in their digest.
Why an email might not arrive
- It went to junk. Look there first, and mark it as safe so the next one does not.
- The address has a typo. Ask your club admin to check the address on your invite.
- Your club uses a filter. Some workplace mailboxes hold anything from an address they have not seen before.
If an invite email never arrives, you do not have to wait for it: every invite has a six-character code, which your club admin can read to you over the phone. Enter it on the sign-in screen and you are in.
What we never do
- No adverts, ever, from us or from anyone else.
- No tracking pixel, so we do not know whether you opened an email.
- No list is sold, shared or rented. See the privacy notice for who sees what.
- No image loaded from anywhere but app.wholeteam.co.uk.
