Entry fees
A competition can charge an entry fee. You set it once, and Whole Team collects it from each club that enters — including clubs that are not on Whole Team, who pay a link with no account. Entering and paying are separate, so a coach can enter a team without touching money and the treasurer pays afterwards.
Setting a fee (organiser)
When you create a competition, set Entry fee per team. You can also set a closing date and a refund policy — the refund policy is shown to a club before they pay, so write what you actually do (for example, "Refunded up to a week before the event"). Leave the fee empty for a free competition. See hosting a competition.
Paying an entry fee (the entering club)
When your team enters a competition with a fee, it shows on the treasurer page under Entry fees, with the competition named. Tap Pay to pay it by card, through the same secure checkout as your subs; the money goes to the organising club. A coach can enter the team without being a treasurer; the treasurer pays here. Sending a pay link (organiser)
For a club that is not on Whole Team, open the competition's Entries, add them as an off-platform entrant by name, then Create pay link. The link is a long web address you send them, by email or a message. They open it and see only the competition, the entrant, the amount, the closing date and your refund policy, give an email for the receipt, and pay by card — no account, no app. You see, per entry, whether the link is sent, opened or paid, and you can copy it again or Replace it, which stops the old one. A link stops working once the entry is paid or withdrawn.
Marking a fee paid another way (organiser)
Some clubs will pay by bank transfer whatever you offer. When one does, open the entry and Mark paid another way, with a note if you like. The entry then reads paid in your list — one column of truth, rather than chasing two.
Requiring payment before the draw (organiser)
By default an unpaid entry still stands and shows as owing. Turn on Require the fee before the draw in the competition's Entries and an entry that has not paid is held out of the draw until it does; the entries list and the draw both say so. Turn it off to let unpaid entries stand.
Refunds
You decide refunds per entry, following the policy you showed before payment. Whole Team's charge is not returned on a refund you start; it is returned only where Whole Team took the payment in error.
